1. Overview
At Ylaxyronklix, we want you to be completely satisfied with your creative retreat and workshop experience. This Return Policy outlines the terms and conditions for cancellations, refunds, and exchanges related to our services and any physical products offered through our studio.
We understand that plans can change, and we strive to be fair and flexible. Please read this policy carefully so you understand your options should you need to cancel or modify a booking.
2. Retreat and Workshop Bookings
2.1 Cancellation by You
If you need to cancel a confirmed retreat or workshop booking, your refund eligibility depends on the notice period provided:
- More than 14 days before the scheduled date: Full refund of the amount paid
- 7 to 14 days before the scheduled date: 50% refund of the amount paid
- Less than 7 days before the scheduled date: No refund available
All cancellation requests must be submitted in writing via our contact form or by contacting us directly. The cancellation date is determined by the date we receive your written notice.
2.2 Rescheduling
If you are unable to attend on your booked date, we are happy to reschedule your booking at no additional charge, provided you notify us at least 7 days before the original date. Rescheduled bookings are subject to availability and must be used within 6 months of the original booking date.
Rescheduling requests made with less than 7 days notice will be assessed on a case-by-case basis and may incur a rescheduling fee of $25 NZD.
2.3 Transfer to Another Person
You may transfer your booking to another person at no additional cost, provided you notify us at least 48 hours before the scheduled date. The new attendee must meet any age or group requirements for the specific retreat or workshop.
3. Cancellation by Us
On rare occasions, we may need to cancel or reschedule a retreat or workshop due to circumstances beyond our control, including but not limited to:
- Insufficient minimum enrolment for a group session
- Facilitator illness or unavailability
- Severe weather or natural events
- Venue-related emergencies or maintenance issues
In the event that we cancel a session, you will be offered the choice of a full refund or a transfer to an alternative date at no extra cost. We will notify you as soon as possible if a cancellation is necessary and will always aim to provide at least 48 hours notice.
4. Workshop Materials and Supplies
All materials and supplies used during our retreats and workshops are included in the booking price and are provided for use during the session. These materials are not subject to separate refund or return, as they are consumed or customised during the creative process.
Any finished artworks or crafted items created during a retreat are yours to take home. Due to the personalised nature of these items, they are not eligible for return or exchange.
5. Gift Certificates and Vouchers
Gift certificates purchased for Ylaxyronklix retreats and workshops are non-refundable but are transferable to another person. Gift certificates are valid for 12 months from the date of purchase and can be redeemed for any available retreat or workshop within that period.
If a gift certificate holder wishes to book a retreat or workshop that exceeds the value of the certificate, the difference can be paid at the time of booking. If the chosen experience is of lesser value, no change or credit will be given for the remaining balance.
Lost or stolen gift certificates cannot be replaced. We recommend keeping them in a safe place and noting the certificate number for reference.
6. Merchandise and Physical Products
If Ylaxyronklix offers physical products such as art supplies, craft kits, or studio merchandise for sale, the following return conditions apply:
- Items may be returned within 14 days of purchase if they are in their original, unused condition with all packaging intact
- To initiate a return, please contact us with your proof of purchase and reason for return
- Returned items will be inspected upon receipt, and refunds will be processed within 10 working days if the item meets return criteria
- Shipping costs for returns are the responsibility of the customer unless the item was received damaged or defective
7. Damaged or Defective Products
If you receive a physical product that is damaged, defective, or not as described, please contact us within 7 days of receipt. We will arrange a replacement or full refund at no additional cost to you. Please provide photographs of the damage or defect to help us process your claim efficiently.
8. Refund Processing
Approved refunds will be processed using the same payment method used for the original transaction. Please allow the following processing times:
- Bank transfer refunds: 5 to 10 working days
- Credit or debit card refunds: 5 to 15 working days (depending on your card issuer)
You will receive an email confirmation once your refund has been processed. If you have not received your refund within the expected timeframe, please contact your bank or payment provider first, and then reach out to us if the issue persists.
9. Exceptions and Special Circumstances
We understand that exceptional circumstances may arise. If you are facing an emergency or hardship that prevents you from attending a booked retreat or workshop, please contact us to discuss your situation. We will do our best to accommodate your needs on a case-by-case basis, and may offer additional flexibility outside of the standard policy terms.
10. Changes to This Policy
We reserve the right to update or modify this Return Policy at any time. Changes will be posted on this page with an updated revision date. The policy in effect at the time of your booking will govern any return or cancellation requests related to that booking.
